Playa Conchal Open/Terms of entry
Terms of entry
Playa Conchal Open 2026 · Finca Escondida Racquet & Social Club · 4–6 December 2026. These are the conditions you accept when you register. They sit alongside the tournament rules, the liability waiver and the privacy and media policy.
1. Who these terms are between
These terms of entry are the agreement between you, the player who registers, and Lotus & Lime Tournaments, the organiser of the Playa Conchal Open. The tournament is hosted at Finca Escondida Racquet & Social Club in Huacas, Guanacaste, Costa Rica. The club is the venue, not the organiser.
By ticking the box in the entry form you accept these terms, the tournament rules, the liability waiver and the privacy and media policy. Read them before you register.
Nothing on this page is legal advice and nothing here removes a right you have under Costa Rican consumer law.
2. Entry and confirmation
One form per player. You choose your division or divisions, and either name your partner or ask us to find one.
- Your place is provisional until we receive payment. We hold it for five days from the day you register.
- We confirm your division by email within two working days, or come back to you if the bracket needs adjusting.
- Submitting the form again with the same email address updates your existing entry. It does not create a second one.
- You must be able to give a working email address and phone number. We use them to reach you about the draw, changes and match times.
Registration closes 30 November 2026, or earlier if the field fills.
3. Fees and payment
Entry is USD 75 for your first division and USD 40 for a second division, which adds matches only. The welcome kit, the Thai break and the Friday dinner seat come once per player, not once per division.
- SINPE Móvil to +506 7198 1988 (Jarno Hottinen)
- PayPal to jarno@hottinen.com, add USD 5 per division to cover the fee
- Bank transfer to Banco LAFISE Costa Rica, account CR60011400007914597212, in USD
Nothing is charged through this website. We do not store card details, and no payment is taken automatically. Bank charges on your side are yours to carry. Put your name and the payment reference from your confirmation email on the transfer so the desk can match it.
Entry must be paid in full before your first match.
4. Capacity, divisions and seeding
The field is capped at 96 teams, with 8 to 10 teams in each of the twelve divisions. Entries are accepted in the order they are paid.
- If a division is full when you pay, we offer you a place in another division or a full refund, your choice.
- A division with fewer than four teams at the close of registration is merged with the nearest division, or refunded in full if no reasonable merge exists.
- The tournament desk reviews every self-rating and may move a team up a level if the level is clearly wrong. We talk to you first. You may play up, never down.
- The desk sets the seeding, the pools and the draw. Those decisions are final.
5. Partner matching
If you register without a partner, we pair you with a player at your level before the draw. Partner matching is a best effort, not a promise.
- If we cannot find you a partner for a division you paid for, you get a full refund for that division.
- If your partner withdraws, tell the desk. We try to find a replacement. If we cannot, the refund rules in section 6 apply to you as they would to any withdrawal.
6. Withdrawal, refunds and transfers
Tell us in writing at play@lotuslimetour.com. The date we receive your message is the date that counts.
- Through 30 November 2026: 50 percent refund.
- After 30 November 2026: no refund.
- Until 1 December 2026 you may transfer your place to another player of the same eligible level by telling the desk. The new player must accept these terms and sign the waiver.
Refunds go back the same way you paid, within 14 days of the date we accept the withdrawal. Any transfer fee charged by PayPal or your bank is deducted from the amount refunded.
Injury and illness follow the same dates. We are sorry, and the deadlines still apply, because the draw, the shirts and the food are committed by then.
7. If we change or cancel the event
We may change the schedule, the court assignments, the format of a division or the running order when the field, the weather or the venue require it. Material changes are published on the schedule page and emailed to registered players.
If the tournament is cancelled, or a day of it is lost, for a reason outside our reasonable control, including extreme weather, a closure of the venue, an act of authority, a power failure or a public health measure:
- You are offered the choice between carrying your entry over to the next edition or a refund of the entry fee, less any costs already unavoidably spent on your behalf.
- We are not responsible for your flights, your accommodation, your transport or any other cost you incurred to be there. Insure those separately.
8. What your entry includes
- Welcome kit with T-shirt
- Four to six matches, three in pools plus bracket or Sunday Draw play
- Your Thai break, a wrap or protein shake from Lotus & Lime, on a match day
- The Friday Thai sharing menu at Lotus & Lime. Friday only, not transferable to another day or another person. Drinks are sold separately.
- Court access for warm-up outside your scheduled matches
- Photography from the weekend, free to download afterwards
Family and friends are welcome all weekend free of charge. Guests can join the Friday sharing dinner for USD 35 per guest, booked and paid in advance through the desk.
Shirt sizes are ordered from what you told us in the entry form. We cannot guarantee a size change after 20 November.
9. Conduct, venue and eligibility
Section 10 of the tournament rules governs conduct on court. The venue's own club rules apply everywhere else on the property, including the use of the courts, the pool area, the terrace and the parking.
- Non-marking shoes are required on court.
- The Tournament Director may issue a warning, a technical foul, a forfeit or a removal from the event for serious or repeated misconduct. Removal carries no refund.
- Players under 18 need a parent or guardian to sign the waiver and to be reachable on site.
- This is an open event. It is not sanctioned and no rating is required.
10. Results, photography and your data
Your name, your division, your team and your match scores are published on the schedule page and on the screens at the venue while the tournament runs. That is the sporting record of the event and it stays public.
Photography and video are covered in the privacy and media policy. Consent to media use is optional and you can play without it.
How we handle your personal data, how long we keep it and what rights you have is set out in the privacy and media policy.
11. Liability
Playing is at your own risk. The liability waiver sets out what you accept and what we do not accept.
To the extent Costa Rican law allows, the organiser's total liability to you in connection with the tournament is limited to the entry fee you paid. Nothing here limits liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be limited.
We are not responsible for personal property lost, damaged or left at the venue.
12. Law, disputes and changes to these terms
These terms are governed by the law of Costa Rica. Disputes go to the competent courts of the province of Guanacaste, unless mandatory consumer rules give you another forum. Your rights under Ley 7472 on consumer protection are unaffected.
If a court finds any part of these terms unenforceable, the rest stays in force.
Everyone who registers accepts the version published at the time of entry. If we change something material before the tournament, we email every registered player and publish the change here with a date.
